SCHEDULE:

Office hours are weekdays, 8:00 a.m.-5:00 p.m.  Additional time including weekends as needed

POSITION DESCRIPTION:

Purpose: to provide administrative support to the Vice President and represent the office of the Vice President to others

Key Responsibility Areas

  • Manage administrative tasks for the Vice President/CFO
    1. Maintain the VP/CFO schedule and coordinate with university stakeholders to plan meetings
    2. Assist with tracking and routing contracts and other documents for execution
    3. Process purchase and expense document on behalf of the VP/CFO
  • Perform post-award accounting duties for sponsored projects
    1. Setup project accounts in Colleague in collaboration with Accounting Team
    2. Coordinate with the Office of Sponsored Projects and applicable faculty to review proposal/project budgets
    3. Complete billing and financial reporting tasks related to sponsored projects
  • Provide project tracking and support for the division of Finance and Administration
    1. Develop a process to track projects happening across the division of finance and administration
    2. Prepare leadership team agendas and keep minutes when requested
  • Other duties as assigned

QUALIFICATIONS:
  • BA/BS in Business or a related field
  • Ability to work with minimal supervision. One should be proactive and a self-starter.
  • Must be highly organized, systematic, and detail oriented, possessing both inductive and deductive reasoning skills.
  • Ability to communicate clearly, both orally and in writing in a tactful, caring manner.
  • Personal attributes should include a love of people and the desire to assist them, patience and perseverance, the ability to work within the chain of command and support the university’s administration. The ability to be a team player, respectful of others’ responsibilities and contributions, is essential, as well as the ability to support the consensus of the team.
